What does the score mean?
The score shows how many of your selected needs a notetaker meets. For example, 3 / 4 means it meets three of your four needs. Choose no needs to browse without scores.
I'm not sure which questions apply to me - where should I start?
Start with one or two needs that reflect how you work, or browse without selecting any. You can change your choices at any time.
Do I really need API support if I'm building my own meeting assistant?
Yes. At minimum, you need a way to get full transcripts out of the system automatically. Webhooks or ready-made app connections (such as Zapier or Make) count. Without API access, you're stuck manually downloading files, which breaks your automation workflow.
Should I use the notetaker's custom notes features or build my own agent?
Build your own agent. Custom Notes features in notetakers are nice, but they can't compete with your own meeting assistant that knows your SOPs and business context. Focus on: Can I get clean transcripts out? The in-app features are secondary.
How do I choose the right capture method for my workflow?
Match your workflow to the capture method:
Only take scheduled meetings → Calendar Event
Join calls on multiple platforms → On Demand via Join URL
Do voice brainstorms or monologues → Dictation on Mobile
Record desktop tutorials or screen shares → Record Screen from Desktop
Transcribe existing recordings → Upload Audio/Video
What's the difference between Webhooks and APIs?
APIs let you ask for data when you want it ("Go get me all meetings from last week"). Webhooks push data to you automatically when something happens ("Meeting just finished, here's the data"). Both are useful, webhooks are easier for most workflows.
Can I use Zoom or Google Meet as my main notetaker?
Only if 100% of your meetings happen on that platform. They can't join meetings on other platforms. Most consultants join client calls across multiple platforms, so dedicated notetakers (Fathom, Fireflies, Circleback) are better choices.
Why does custom vocabulary matter?
If your industry uses specific terms, names, or jargon, custom vocabulary ensures they're transcribed correctly. This matters for accuracy and saves you from fixing misspellings later. Tech, healthcare, legal, and DEI work especially benefit from this.
Do I need MCP connections?
No, they're nice-to-have. You can build an effective meeting assistant without MCP. The main benefit is convenience—your LLM can fetch meeting data directly instead of you copying and pasting transcripts.
What if I change my mind and want to switch notetakers later?
You can. As long as you're storing transcripts in your own system (Google Drive, Notion, etc.), switching notetakers won't affect your historical data. Focus on getting transcripts out and stored somewhere you control.
